# Add and manage tasks

This article explains the ways in which you can add and manage tasks within the calendar layout.

{% hint style="warning" icon="file-exclamation" %}

### Important

After you add, edit, duplicate, or delete tasks or insert milestones, select **Save to Database** to save your changes to the database.

Use **Discard Changes** if you want to discard all the changes you made.

Select **Preview Changes** to preview all changes you made. You can select the ones you want to discard and save the remaining to the database.
{% endhint %}

### Add a task

1. Select **Add Task** on the toolbar to create a new task or an event. Alternatively, select a date directly on the calendar to create a task or appointment for that date.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FkgigU4NjIbcIBEN5X9nY%2Fimage.png?alt=media&amp;token=c7ab6c4d-1b68-4a73-9fc6-8741c643ea3d" alt=""><figcaption></figcaption></figure>

2. In the form editor, enter the required details. If the table contains single-select list columns, select the appropriate values from the drop-down list.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FSbFK45xUdPT6MecD9P03%2Fimage.png?alt=media&amp;token=d394f5ec-6702-4220-81e4-724fbcc53504" alt=""><figcaption></figcaption></figure>

3. Select **Apply**. The appointment is added to the calendar.
4. Select **Save to Database** to save the details to the database.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FG1Q2SjkB9cufTGl4Rmsd%2Fimage.png?alt=media&amp;token=df83fe7e-edc4-46ec-997e-b24b4f1924ab" alt=""><figcaption></figcaption></figure>

#### Select and drag

You can select and drag across one or more dates to create a task with the selected **start and end dates**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FmO8jd8hQtrFAhFGg5YtY%2Fimage.png?alt=media&amp;token=8c4382e9-8f26-4efe-ab9d-ea1ebe2fb0ff" alt=""><figcaption></figcaption></figure>

Then, add the task details in the form editor and select **Apply**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2Fz30z6uWZ9UGftB9cZztF%2Fimage.png?alt=media&amp;token=d303557b-207a-4e2b-b69c-1bedfd9e8a68" alt=""><figcaption></figcaption></figure>

{% hint style="warning" icon="file-exclamation" %}

### Important

* When you add a task without a start date, it is considered as a [milestone](#create-a-milestone).
* When you add a task without the start and end dates, it is added as a [backlog task](#create-and-manage-backlog-tasks) which you can schedule later.
  {% endhint %}

### Create and manage backlog tasks

A backlog task is a task without a specific **Start Date** or **End Date**. PowerTable lets you add **unscheduled tasks** in the calendar layout, keeping unconfirmed or unscheduled tasks separate from scheduled tasks. You can schedule a backlog task later by assigning **Start Date** and **End Date** values.

#### Create a backlog task

To create a backlog task:

1. Select **Backlog Task** to open the **Backlog Task** panel.
2. Select **Add Task** to open the **Record Details** panel.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2F7fUrUjUUJCS67CI9uZ5a%2Fimage.png?alt=media&amp;token=b8f77c22-2585-4fde-b8a5-a2fbcae3102c" alt=""><figcaption></figcaption></figure>

3. Enter the required task information in the **Form Editor** without adding the **Start** and **End Dates**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2Fw7xcBrtOWy45rTF2VeeW%2Fimage.png?alt=media&amp;token=0cc80ff6-fcbc-4029-90b5-66070b1e40fd" alt=""><figcaption></figcaption></figure>

4. Select **Apply**. The task is added to the backlog without a scheduled time period.
5. Select **Save to Database** to save the task to the database.

{% hint style="info" %}

### Note

If you specify a **Start Date** and **End Date** when creating a task from the backlog, PowerTable creates it as a standard scheduled task instead of a **Backlog Task**.
{% endhint %}

#### View backlog tasks

You can view the backlog tasks by selecting **Backlog Task**. A side panel opens with a list of all backlog tasks.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FyRFmTANj6KDgFlbG8iKa%2Fimage.png?alt=media&amp;token=ee12e7a9-24e5-49c5-b440-7c4dedb64d56" alt=""><figcaption></figcaption></figure>

#### Schedule a backlog task

To schedule a backlog task, select **Backlog Task**, select the **Edit** icon next to the task you want to schedule, and specify the **Start Date** and **End Date**. The task then appears as a scheduled task in the calendar.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2F292EfFmbIyxvdBUBaSQO%2Fimage.png?alt=media&amp;token=91656dd3-bcbc-4967-bbdf-6ba01bc5b84c" alt=""><figcaption></figcaption></figure>

Use the bin icon to delete the backlog task.

### Import tasks

You can import task records in bulk using the **Import** option under the **PowerTable** tab. To learn more, see [Import bulk data](/powertable-sheets/how-tos/insert-import-duplicate-and-delete-rows.md#import-bulk-data).

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FmDHO65XgmdoqDa7AmImF%2Fimage.png?alt=media&amp;token=93935e57-fee3-47e3-8c5e-7058b148725e" alt=""><figcaption></figcaption></figure>

### Create a milestone <a href="#create-a-milestone" id="create-a-milestone"></a>

Milestones represent important events, deadlines, or completion points in a task schedule. You can create a new milestone in the calendar or convert an existing task into a milestone.

To create a milestone:

1. In the **PowerTable** tab, expand **Add Task** and select **Insert Milestone**. The **Record Details** side panel opens with the **Form Editor**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FNSMxfcRlKixOHO4ZKFlF%2Fimage.png?alt=media&amp;token=4f81f475-9f08-4afe-992d-e37fa9d371e9" alt=""><figcaption></figcaption></figure>

2. Enter the required task details and fill in all mandatory fields.
3. Select **Apply**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FnlX56dB5MjoZVqo5TUGZ%2Fimage.png?alt=media&amp;token=6769bdeb-5c4a-4d31-afe1-1a9e377b7c4c" alt=""><figcaption></figcaption></figure>

The configured milestone is displayed on the calendar. Select **Save to Database** to save the milestone to the database.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2F2sHGaZ9DhRFDAksBO5vM%2Fimage.png?alt=media&amp;token=5586f2ba-5236-4f05-8542-9a06c63677f7" alt=""><figcaption></figcaption></figure>

{% hint style="info" %}

### Note

The **Start Date** field is disabled when you create a milestone because a milestone is represented by a single date rather than a task duration.

Also, when you add a standard task without a start date, it is automatically added as a milestone.
{% endhint %}

#### Convert to milestone

To convert an existing task in the calendar to an important milestone, right-click on the task and select **Convert to Milestone**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FebMIlPfjU4xZUovOcYgR%2Fimage.png?alt=media&amp;token=c45250ce-96c4-4440-8c8d-0af3885b7ecf" alt=""><figcaption></figcaption></figure>

PowerTable converts the task to a milestone as shown in the following image.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FQsxjCSRxnbOiLEWvQkbT%2Fimage.png?alt=media&amp;token=e509c0c2-c074-41b7-b35b-668bc2564325" alt=""><figcaption></figcaption></figure>

### Reschedule a task

To reschedule a task, drag and drop it from its current date to the required date in the calendar layout.

Alternatively,

1. Right-click on the task and then select **Reschedule Task**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2Ft7oJGQXU79QGD96YPG02%2Fimage.png?alt=media&amp;token=04e28640-cb05-44a1-a597-d2ca53bdd336" alt=""><figcaption></figcaption></figure>

2. The **Reschedule Task** dialog opens. Use it to move a task forward or backward by a specified time period.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FywMCyIuW4FiWI9W4RvN4%2Fimage.png?alt=media&amp;token=3da7e5a4-02a8-45b6-8b87-1a554ad58675" alt=""><figcaption></figcaption></figure>

* **Move:** Select **Forward** to move the task to a later date or **Backward** to move it to an earlier date.
* **Range:** Select the unit of time by which to move the task, such as **Day**, **Week**, or **Month**.
* **Duration:** Specify the number of selected time units to move the task. For example, selecting **Week** and entering **2** moves the task by two weeks.

3. Select **Apply** to reschedule the task based on the selected options.

### Edit a task

You can edit the task details in three ways:

#### Expand the task

1. Select the task on the calendar that you want to edit.
2. On the pop-up, select the **Expand** arrow to open the form editor.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FsbHhTlG7RH7NghXqeDkM%2Fimage.png?alt=media&amp;token=2209af13-7e34-480b-96bc-b68665470b24" alt=""><figcaption></figcaption></figure>

3. In the form editor, edit the task details and select **Apply**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2F0Lo3jPaUR8ccqLMVwrPU%2Fimage.png?alt=media&amp;token=51563b39-a033-43f0-9f0c-9aafa02e9b51" alt=""><figcaption></figcaption></figure>

{% hint style="info" %}

### Note

Use [**Customize Form**](/powertable-sheets/how-tos/generate-forms.md#customize-form) in the form editor to customize the form.
{% endhint %}

#### Manage record option

Alternatively, right-click on the task and select **Manage Record** to open the form editor and edit.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FOBfPITLuAtDo61CFgN69%2Fimage.png?alt=media&amp;token=6a55c7fa-f697-4525-ba66-82ede57dea9e" alt=""><figcaption></figcaption></figure>

#### Drag and drop the task bar

To edit a task's dates or duration, hover over the task bar and then drag and drop the edges from its current position to the required time period.

In **Week** or **Day** view, drag the taskbar vertically to move it across hours.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FnAHtNMat3vrWJuiaNBaP%2Fimage.png?alt=media&amp;token=3800c7a3-e882-4107-8790-062869fccf66" alt=""><figcaption></figcaption></figure>

In **Month** view, drag it horizontally to move or extend the task across days.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FNRTi766qOQtisOkkj1mj%2Fimage.png?alt=media&amp;token=df856fed-ef81-47bf-bc00-8971fd03da5e" alt=""><figcaption></figcaption></figure>

### Duplicate a task

Select the task, and then select the vertical ellipsis on the pop-up and then select **Duplicate**.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FCbIefrIzo4rubw81VQO7%2Fimage.png?alt=media&amp;token=cd6502b5-ac4e-4286-ab80-9cc823fe3ec9" alt=""><figcaption></figcaption></figure>

PowerTable duplicates the selected task and opens the form editor. You can edit the details you want in the form editor and select **Apply** to save changes.

### Delete a task

To delete a task, right-click on the card and select **Delete**. Or, select the card and then select the **Delete** option (bin icon) at the top.

<figure><img src="https://257222532-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FUtolck8kt8atqxFPsEBn%2Fuploads%2FBVU5gLTGSKUprOuCCaw0%2Fimage.png?alt=media&amp;token=985bdc2e-720d-4836-ab22-1fa73b67e814" alt=""><figcaption></figcaption></figure>

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://docs.fabricplan.com/powertable-sheets/how-tos/layout-views-summary/calendar/add-and-manage-tasks.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
